A. General information

(1) In the following, we provide information on the collection of personal data in general and when using the respective group-specific website or mobile app. Personal data is all data that can be related to you personally, e.g. name, address, e-mail addresses, user behaviour. (3) When you contact us, e.g. by e-mail or via a contact form, the data you provide (e.g. your e-mail address, name and telephone number) will be processed by us in order to answer your questions. We delete the data accruing in this context after the storage is no longer necessary. We are generally obliged to store your address, payment and order data for a period of 10 years due to commercial and tax law requirements. If there is a legal basis for further processing (e.g. legal obligation to retain data), we restrict processing as far as possible.

(4) If we use commissioned service providers for individual functions of our offer or would like to use your data for advertising purposes, we will inform you in detail about the respective processes. In doing so, we will also state the defined criteria for the storage period.

C.   Further information for the purely informational use of our websites or mobile apps

 (1) In the case of purely informational use of the website and mobile apps, i.e. if you do not register and do not otherwise transmit information to us, we only collect the personal data that your browser transmits to our server. The
following data is technically necessary for us to be able to display our website or mobile apps to you and to ensure stability and security (legal basis is Art. 6 para. 1 p. 1 lit. f GDPR):

  • IP address
  • Date and time of the request
  • Time zone difference from Greenwich Mean Time (GMT)
  • Content of the request (concrete page)
  • Access Status/HTTP Status Code
  • Data volume transferred in each case
  • Website from which the request comes
  • Browser
  • Operating system and its interface
  • Language and version of the browser software.

(2) In addition to the processing of the aforementioned data, cookies are stored on your computer when you use our website. Cookies are small text files that are stored on your hard drive - assigned to the browser you are using - and through which certain information flows to the body that sets the cookie (in this case by us). Cookies cannot execute programmes or transfer viruses to your computer. They serve to make the Internet offer more user-friendly and effective overall.

 a) The websites or mobile apps use different types of cookies:

So-called transient cookies are automatically deleted when you close the browser. These include, in particular, session cookies. These store a so-called session ID, with which various requests from your browser can be assigned to the joint session. This enables your computer to be recognised when you return to our website. The session cookies are deleted when you log out or close the browser.

So-called persistent cookies are automatically deleted after a predefined period of time, which may differ depending on the cookie. You can delete the cookies in the security settings of your browser at any time.

b) You can configure your browser settings according to your preferences and, for example, refuse to accept third-party cookies or all cookies. Please note that you may then not be able to use all the functions of this website.

D.   General information on further functions and usage options

 (1) In addition to the purely informational use of our websites or our mobile apps, we offer various services that you can use if you are interested. For this purpose, you usually have to provide further personal data which we use to provide the respective service and for which the aforementioned data processing principles apply. When you contact us by e-mail, letter or any other medium, the personal data you provide will be processed by us in order to answer your questions. We delete this data after further processing is no longer necessary, unless there are legal retention obligations.

(2) In some cases, we use external service providers to process your data. These have been carefully selected and commissioned by us, are bound by our instructions and are regularly monitored.

(3) Furthermore, we may pass on your personal data to third parties if we offer promotions, competitions, contracts or similar services together with partners. You will receive more information on this when you provide your personal data or below in the description of the usage offer.

(4) Insofar as our service providers or partners are based in a country outside the European Economic Area (EEA), we will inform you of the consequences of this circumstance in the description of the usage offer.

(5) If you purchase goods from us, make use of services or order information and advertising material, we will send you information e-mails for goods or services of the Provadis Group (www.provadis.de/gruppe) from this point onwards. These e-mails will only be sent after you have placed your order and using the so-called double-opt-in procedure. This means that we will only send you the information e-mails if you first confirm your registration via a confirmation e-mail sent to you using the link contained therein. You can request at any time that you no longer receive such information e-mails from us. To do so, please send an e-mail to [email protected] or to the contact details given in the imprint or click on the link at the end of the information e-mails. You will not incur any costs other than the transmission costs according to the basic rates.

E.   Special notes on the right to object or revoke

 (1) If you have given your consent to the processing of your data, you may withdraw this consent at any time. Such a revocation affects the permissibility of the processing of your personal data after you have expressed it to us.

(2) Insofar as we base the processing of your personal data on the balance of interests, you can object to the processing. This is the case if the processing is not necessary, in particular, for the performance of a contract with you, which is shown by us in each case in the following description of the functions. When exercising such an objection, we ask you to explain the reasons why we should not process your personal data as we have done. II. Special part - special processing activities of the respective Provadis group companies


A.   Use of our mobile apps

 (1) Note on mobile apps

In addition to our website, we also provide you with mobile apps that you can download to your mobile device. We use two different types of apps:

  • Apps for which we are responsible (self-programmed or content-managed),
  • Third-party apps outside our responsibility.

a) When downloading the mobile app, the required information is transferred to the App Store, i.e. in particular user name, email address and customer number of your account, time of download, payment information and the individual device identification number. We have no influence on this data collection and are not responsible for it. We only process the data insofar as it is necessary for downloading the mobile app to your mobile device.

b) Furthermore, it is possible in individual cases that we require further information such as your device identification, unique number of the terminal device (IMEI = International Mobile Equipment Identity), unique number of the network subscriber (IMSI = International Mobile Subscriber Identity), mobile phone number (MSISDN), MAC address for WLAN use, name of your mobile terminal device or e-mail address.

c) Using your address book or calendar

(i) At the beginning of the use of our mobile apps for which we are responsible, we ask you in a pop-up for permission to use, for example, your address book or your calendar. If you do not give permission, we will not use this data. In this case, you may not be able to use all the functions of our app. You can grant or revoke permission later in the settings of the app or the operating system.

(ii) If you allow access to this data, the mobile app will only access and transfer your data to our server to the extent necessary to provide the functionality. Your data will be treated confidentially by us and deleted when you revoke the rights to use it or it is no longer necessary for the provision of the services and there are no legal retention obligations. The legal basis for the processing is Art. 6 para. 1 p. 1 lit. f GDPR.

(2) Push messages

The use of the push notification function in our mobile apps is voluntary and not required to use our offers. We only transmit general information about our offers and organisational information about your educational measure via the push notification function.

To send push messages to mobile devices, we use the service of OneSignal, Inc., 2850 S Delaware St Suite 201, San Mateo, CA 94403, United States of America (also referred to as "Push Service Provider").

The push messages are sent using a pseudonymous push token assigned by your operating system or by the corresponding push service. The push service uses this push token to store data such as the type of device, time of use, IP address when used, language setting, as well as push messages transmitted to the device in the wording and status of your push subscription, and associates these with your mobile device. The push service provider cannot assign this data to any other of your personal data.The sending of push messages is based on your consent, which can be given as part of the app installation, within the meaning of Art. 6 para. 1 sentence 1 lit. a) DSGVO.

You can revoke your consent at any time by switching off the "Receive push messages" function in the app settings or by deactivating the receipt of push messages in the operating system settings.

(3) Crash notifications

In order to improve the stability and reliability of our apps, we rely on anonymised crash reports.

iOS apps: If you have voluntarily and expressly consented to the transmission of a crash report in the settings of the app or after a crash, anonymous information about the crash (state of the app at the time of the crash, stack trace, manufacturer and operating system of the mobile phone, last log messages) is transmitted to Apple, Inc., One Apple Park Way, Cupertino, CA 95014, United States of America, and stored there for evaluation. According to Apple, Inc., this information does not contain any personal data.

Android apps: If you voluntarily and explicitly agree to the general transmission of crash notifications to Google when setting up your mobile device, information (state of the app at the time of the crash, stack trace, manufacturer and operating system of the mobile phone, last log messages) will be transmitted to Google LLC, 1600 Amphitheatre Pkwy, Mountain View, CA 94043, United States of America, after a crash of the app and stored there for evaluation. According to Google LLC, this information does not contain any personal data.

B. Special forms of use of our websites

(1) Use of our quote request function

a) If you request the sending of offers (for example services, seminars) on our website, it is necessary for the sending that you provide your personal data, which we require for the processing of your request. Mandatory data required for processing the request are marked separately, other data are voluntary. We process the data you provide to process your enquiry and to process any contract that may have been concluded. The legal basis for this is Art. 6 para. 1 p. 1 lit. B GDPR.

b) If a contract is concluded, we are obliged by commercial and tax law to store your address, payment and order data for a period of ten years.

(2). Use of our "Provadis Coach

a) If you wish to use our Provadis Coach, you must register using your first name and surname or your e-mail address and your password assigned by us, which you must change yourself after the first registration. The Provadis Coach is for official use in the context of a booked seminar, training relationship or employment relationship. As a participant, you can use the Provadis Coach to receive learning content and appointments. It is also used for internal communication between participants and lecturers/trainers. .

b) If you use our Provadis Coach, we store your data required for the fulfilment of the contract until your access is permanently deleted after the end of your training, further education or studies. Furthermore, we store the voluntary data you provide for the duration of your use of Provadis Coach, unless you delete it beforehand. You can manage and change all details in the protected customer area. The legal basis is Art. 6 para. 1 p. 1 lit. f GDPR.

c) If you use Provadis Coach, your data may become accessible to other Provadis Coach participants. Non-registered members will not receive any information about you. Your user name is visible to all registered members, regardless of whether you have shared it.

d) To prevent unauthorised access to your personal data by third parties, the connection is encrypted using SSL technology.                     

(3) Use of the registration facility for events, training courses, seminars or courses - use of the "Seminar Finder

a) If you would like to book events, training courses, seminars or courses on our website, it is necessary for the conclusion of the contract that you provide your personal data, which we require for the processing of your booking. Mandatory information required for the processing of contracts is marked separately, other information is voluntary. We process the data you provide to process your booking. The legal basis for this is Art. 6 para. 1 p. 1 lit. b GDPR.

We may also process the data you provide to inform you about other interesting products from our portfolio or to send you emails with technical information.

C.   Third party offers

 Our website is linked to other websites in order to give you the opportunity to obtain related and interesting information. Furthermore, we use apps from third parties or refer to them on our website, for which we assume no responsibility. These websites or mobile apps of other companies outside our own internet or app offering are not subject to our control and this privacy policy. If you access other websites or use mobile apps via the links provided, their operators may collect your personal data. Make sure that you agree with the privacy policy of the respective operator before you share personal data. We are not legally or otherwise responsible for the activities of other companies. If we become aware of any infringements, we will remove such links immediately.

D.   Newsletter

 (1) You have the option of subscribing to our newsletter, with which we inform you about our current interesting offers. You will find our service portfolio, which is the subject of the newsletter, at www.provadis.de.

(2) We use the so-called double-opt-in procedure to register for our newsletters. This means that after your registration, we will send you an email to the email address you provided in which we ask you to confirm that you wish to receive the newsletter. If you do not confirm your registration within 48 hours, your information will be blocked and automatically deleted after one month. In addition, we store your IP addresses and the times of registration and confirmation. The purpose of this procedure is to be able to prove your registration and, if necessary, to clarify a possible misuse of your personal data.

(3) The only mandatory information for sending the newsletter is your e-mail address. The provision of further, separately marked data is voluntary and will be used to address you personally. After your confirmation, we store your e-mail address for the purpose of sending you the newsletter. The legal basis is Art. 6 para. 1 p. 1 lit. a GDPR.

(4) You can revoke your consent to the sending of the newsletter at any time and unsubscribe from the newsletter. You can declare the revocation by clicking on the link provided in every newsletter e-mail, by e-mail to unsubscribeprovadis.com or by sending a message to the contact details provided in the imprint.

(5) We would like to point out that we evaluate your user behaviour when sending the newsletter. For this purpose, we use the tracking functions of empaction GmbH (for more information, see "Web Analytics"). For this evaluation, the e-mails sent contain so-called web beacons or tracking pixels, which are single-pixel image files stored on our website. For the evaluations, we link the collected data and the web beacons with your e-mail address and an individual ID. Links received in the newsletter also contain this ID. With the data obtained in this way, we create a user profile in order to tailor the newsletter to your individual interests. In doing so, we record when you read our newsletters, which links you click on in them and deduce your personal interests from this. We link this data to actions you have taken on our website.

You can object to this tracking at any time by clicking on the separate link provided in each email or by informing us via another contact channel. The information is stored for as long as you are subscribed to the newsletter. After unsubscribing, we store the data purely statistically and anonymously. Moreover, such tracking is not possible if you have deactivated the display of images by default in your e-mail programme. In this case, the newsletter will not be displayed to you in full and you may not be able to use all the functions. If you display the images manually, the above-mentioned tracking takes place.

E.   Web analytics / web crawler tools

(1) Web analytic tool: Google Analytics

a) This website uses Google Analytics, a web analytics service provided by Google, Inc ("Google"). Google Analytics uses "cookies", which are text files placed on your computer, to help the website analyse how users use the site. The information generated by the cookie about your use of this website is usually transmitted to a Google server in the USA and stored there. In the event that IP anonymisation is activated on this website, however, your IP address will be truncated beforehand by Google within member states of the European Union or in other contracting states to the Agreement on the European Economic Area. Only in exceptional cases will the full IP address be transmitted to a Google server in the USA and shortened there. On behalf of the operator of this website, Google will use this information for the purpose of evaluating your use of the website, compiling reports on website activity and providing other services relating to website activity and internet usage to the website operator.

b) The IP address transmitted by your browser as part of Google Analytics will not be merged with other Google data.

c) You may refuse the use of cookies by selecting the appropriate settings on your browser, however please note that if you do this you may not be able to use the full functionality of this website. You can also prevent the collection of data generated by the cookie and related to your use of the website (including your IP address) by Google and the processing of this data by Google by downloading and installing the browser plug-in available at the following link: tools.google.com/dlpage/gaoptout.

As an alternative to the browser add-on or within browsers on mobile devices, please click this link to prevent Google Analytics from collecting data within this website in the future (the opt-out only works in this browser and only for this domain). This will place an opt-out cookie on your device. If you delete your cookies in this browser, you must click this link again.

d) This website uses Google Analytics with the extension "_anonymizeIp()". This means that IP addresses are processed in a shortened form, which means that personal references can be ruled out. If the data collected about you is related to a person, this is immediately excluded and the personal data is deleted immediately.

e) We use Google Analytics to analyse and regularly improve the use of our website. If you have consented to this use, we can use the statistics obtained to improve our offer and make it more interesting for you as a user. This website also uses Google Analytics for a cross-device analysis of visitor flows, which can be carried out via a user ID if you have given your prior consent. (2) Web crawler tool: Echobot

 The operating company Echobot Media Technologies GmbH, Durlacher Allee 73, D-76131 Karlsruhe, Germany, operates sophisticated crawling, indexing and machine learning algorithms that process digitally available data from public sources. As this is not a case of commissioned processing, all data protection-related enquiries from data subjects - with the exception of the information obligations to be fulfilled by us pursuant to Article 14 GDPR - are to be addressed directly to Echobot.  Data concerned and technique used: Searching publicly available data from online news, blogs, company websites, register databases and business-related social media networks. For more information on Echobot, please visit

F.   Social Media

(1) Integration of YouTube videos

a) We have integrated YouTube videos into our online offer, which are stored on www.YouTube.com and can be played directly from our website. These are all integrated in "extended data protection mode", i.e. no data about you as a user is transmitted to YouTube if you do not play the videos. Only when you play the videos will the data mentioned in paragraph 2 be transmitted. We have no influence on this data transmission.

b) By visiting the website and your corresponding consent, YouTube receives the information that you have accessed the corresponding sub-page of our website. In addition, the data mentioned under § 3 of this declaration is transmitted. This takes place regardless of whether YouTube provides a user account via which you are logged in or whether no user account exists. If you are logged in to Google, your data will be directly assigned to your account. If you do not want your data to be associated with your YouTube profile, you must log out before activating the button. YouTube stores your data as usage profiles and uses them for the purposes of advertising, market research and/or designing its website in line with requirements. Such an evaluation is carried out in particular (even for users who are not logged in) to provide needs-based advertising and to inform other users of the social network about your activities on our website. You have the right to object to the creation of these user profiles, and you must contact YouTube to exercise this right.

(2) Integration of Google Maps

a) On this website, we use the Google Maps service. This allows us to show you interactive maps directly on the website and enables you to use the map function conveniently.

b) By visiting the website and your corresponding consent, Google receives the information that you have called up the corresponding sub-page of our website. In addition, the data mentioned under § 3 of this declaration will be transmitted. This takes place regardless of whether Google provides a user account via which you are logged in or whether no user account exists. If you are logged in to Google, your data will be directly assigned to your account. If you do not want your data to be associated with your Google profile, you must log out before activating the button. Google stores your data as usage profiles and uses them for the purposes of advertising, market research and/or the needs-based design of its website. (3) Use of WhatsApp Business

We use WhatsApp Business as an information hotline for interested parties. The contact is made exclusively by the interested party. The data of the interested party will not be stored and will not be used for renewed contact.

G.   Online advertising and analysis of user behaviour

Use of Google Ads

(1) We use the Google Ads service to draw attention to our attractive offers on external websites with the help of advertising media (so-called Google Ads). We can determine how successful the individual advertising measures are in relation to the data of the advertising campaigns. In this way, we pursue the interest of showing you advertising that is of interest to you, making our website more interesting for you and achieving a fair calculation of advertising costs.

(2) These advertisements are delivered by Google via so-called "ad servers". For this purpose, we use ad server cookies, which can be used to measure certain parameters for measuring success, such as the display of ads or clicks by users. If you access our website via a Google ad, Google Adwords will store a cookie on your PC if you have previously given your consent. These cookies usually expire after 30 days and are not intended to identify you personally. The unique cookie ID, number of ad impressions per placement (frequency), last impression (relevant for post-view conversions) and opt-out information (marking that the user no longer wishes to be addressed) are usually stored as analysis values for this cookie.

(3) These cookies enable Google to recognise your internet browser. If a user visits certain pages of the website of an Adwords customer and the cookie stored on his computer has not yet expired, Google and the customer can recognise that the user clicked on the ad and was redirected to this page. A different cookie is assigned to each Adwords customer. Cookies can therefore not be tracked via the websites of Adwords customers. We ourselves do not collect or process any personal data in the aforementioned advertising measures. We only receive statistical evaluations from Google. These evaluations enable us to recognise which of the advertising measures used are particularly effective. We do not receive any further data from the use of the advertising media; in particular, we cannot identify the users on the basis of this information.

(4) Due to the marketing tools used, your browser automatically establishes a direct connection with Google's server. We have no influence on the scope and further use of the data collected by Google through the use of this tool and therefore inform you according to our state of knowledge: Through the integration of AdWords Conversion, Google receives the information that you have called up the corresponding part of our website or clicked on an advertisement from us. If you are registered with a Google service, Google can assign the visit to your account. Even if you are not registered with Google or have not logged in, it is possible that the provider may obtain and store your IP address.

Use of Facebook Custom Audiences (Pixel/Cookies)

We use a so-called tracking pixel of Facebook Ireland Ltd., 4 Grand Canal Square, Grand Canal Harbour, Dublin 2, Ireland, a subsidiary of Facebook Inc. 1601, Willow Road Menlo Park, CA 94025, USA, on our website. We use Facebook Pixel to track the success of our own Facebook advertising campaigns and to optimise the playout of Facebook advertising campaigns to interested target groups.

After clicking on a Facebook ad or visiting our website, a cookie is stored on your device using the pixel on our website. The cookie processes data about whether you have reached our website via a Facebook ad and allows us to analyse the user's behaviour until the purchase is completed. We provide the use of the video conferencing software "Zoom" from the provider Zoom Video Communications, Inc, 55 Almaden Blvd, Suite 600, San Jose, CA 95113, United States of America, as part of the virtual and hybrid courses.
